Job Description:
The Onboarding Coordinator is responsible for managing the process of bringing new properties
into TapAway's portfolio. This role collects and processes required paperwork from property
owners, then leads a hands-on property audit to assess current condition, inventory, and needs.
The Coordinator serves as the primary point of contact with the owner throughout onboarding —
communicating audit findings, outlining next steps, and securing approval for any required
purchases or repairs before the property goes live.
Key Responsibilities
• Owner Paperwork & Documentation
o Collect all required onboarding paperwork from new property owners
(management agreements, disclosures, compliance documents, etc.)
o Track outstanding items and follow up with owners to ensure timely completion
• Property Audits
o Conduct an on-site audit of each new property to document current condition,
existing furnishings/amenities, and any deficiencies
o Create a detailed inventory noting what's present versus what's needed to meet
TapAway's rental-ready standards
o Photograph and log findings in a standardized format for internal records
• Owner Communication
o Present audit findings to property owners in a clear, professional manner
o Outline recommended next steps, including any required purchases, repairs, or
upgrades
o Obtain owner approval for expenditures before purchases are made
o Serve as the main point of contact for the owner throughout the onboarding period
• Coordination & Handoff
o Coordinate with vendors/contractors as needed to fulfill approved purchase or
repair items
o Confirm completion of all onboarding items before handing the property off to
ongoing operations/turnover teams
o Maintain onboarding status records to keep leadership informed of pipeline
progress
Preferred Skills:
Qualifications
• Strong organizational skills with the ability to manage multiple property onboardings
simultaneously
• Comfortable conducting in-person property walkthroughs and assessments
• Clear, professional written and verbal communication skills — this role interfaces
directly with property owners
• Detail-oriented, with the ability to create thorough and consistent audit documentation
• Basic familiarity with STR/property management operations preferred; willingness to
learn Guesty and related tools
• Valid driver's license and reliable transportation (role requires travel between properties)
• Self-starter who can work independently once trained
